Electronic Payment (ePay)

Sign up for ePay | Information about ePay

To sign up for the ePay application for your account payments, the employer needs to:

These forms must be signed by someone in your office with spending authority. State agencies using the State Treasurer's concentration account cannot use the ePay application to transfer funds electronically to DRS.

Allow at least 10 calendar days for your ePay account to be set up. Once you have completed the forms and mailed them to us, we will begin the pre-notification process with the bank. This process allows us to verify that the electronic fund transfer will work.

If you do not have access to any other eService application and this is the first time you are signing up for ePay, we will set up access and provide you with a user ID and password. You can begin using ePay as soon as you receive your user ID and password.

If you already have a password for another eService application (WBET or MRV), your user ID and password will be the same. We will notify you when your ePay account is available.

To sign up for both DCP and Retirement ePay at the same time, select both the DCP and retirement options on the forms.

For a separate DCP ePay account or for adding DCP to an existing ePay acccount, complete a separate Bank Account Authorization for ePay form.

To change a bank account, submit a new Bank Account Authorization for ePay.

To terminate an ePay account, contact us in writing and confirm that the service is discontinued.

First time logon

When you logon for the first time, a pop-up screen will display an access agreement. This agreement describes acceptable use of the DRS electronic services and your responsibilities when using the online applications. You must read and accept the agreement before you can logon. You may choose to read the access agreement now. You will also be asked to change your password to one that you select. See password information for requirements.

Information about ePay

The Electronic Payment (ePay) application allows you to use the Internet to submit information for your retirement and Deferred Compensation Program (DCP) payments. You can sign up to use the ePay application for either your retirement payments or your DCP payments or both. Once you are approved, funds will be electronically transferred from your bank account to the State Treasurer's account on the date you specify.

If you use the Web-Based Employer Transmittal (WBET) application for your transmittal reporting, you can automatically pull payment totals from your transmittal report into the ePay application to quickly create a payment advice form.

Reduces errors

The application calculates totals for you and has built-in edits to ensure that information has been entered correctly. If you have made an error, the application will alert you to the problem and require that you correct the error before submitting the payment information to DRS. The application ensures that money is deposited in the correct account and helps you keep your accounts in balance.

You don't have to deal with checks getting lost in the mail. The application uses built in security.

Convenience and savings

Using the online application to submit payment information will save time since there is no check to sign, approve or mail. You will save money, no checks, envelopes or stamps required. Its convenient, you decide when you want the payment deducted from your account. You don't even have to be in the office!

Who Can Use the Service?

Any employer (except a state agency) can use this service. It doesn't matter if you are big or small or whether you use any other DRS electronic service. You do not need to use the ePay application each month to submit payment information. That is, you can complete a payment advice form and send a check in the mail one month and use the ePay application to submit payment information electronically the next month. You decide how best to use this service.
